Vehicle records

Each enrolled unit has its own record connected to its unit ID, vehicle role, appearance standard, and service history. Records persist across service cycles.

Service due dates

Proposed next-service dates are based on the approved cadence, last service date, and any reported condition concerns. They are not automated guarantees.

Manager approvals

All optional or scope-expanding work requires fleet manager authorization before proceeding. The approval model is confirmed during account setup.

Condition changes

Condition concerns reported by drivers or observed during service are logged against the applicable unit. The fleet manager receives notification for items requiring a decision.

Completion evidence

Where included in the account scope, completed services generate a record with before and after photographs, completed work summary, and any documented limitations.

Proposed FleetReady Reporting

Let Drivers Flag the Problem Before It Becomes the Standard

The FleetReady reporting workflow allows drivers to report condition concerns directly from the vehicle. A QR code associated with each unit routes reports into one of four categories - routing the issue to the right action without requiring the fleet manager to discover the problem independently.

Exception Handling

Professional Fleet Care Includes Knowing When to Stop

Waypoint does not silently proceed past conditions that fall outside the approved scope or that require fleet-manager input. Every exception is paused, documented, reported, and held until direction is confirmed.

Pilot and Baseline Program

Start With a Baseline Before Committing the Entire Fleet

Waypoint recommends a two-stage baseline and pilot program for all new FleetReady accounts. The baseline establishes current condition and a proposed service matrix. The pilot validates services, scheduling, access, and documentation before the recurring program is confirmed.

Stage 1 - Baseline Review

  • Select representative units
  • Document current appearance condition per unit
  • Identify different vehicle roles and standards
  • Establish proposed service matrix
  • Review service environment and access
  • Confirm operational fit and scheduling approach

Stage 2 - Pilot Service Cycle

  • Confirm approved vehicles and scope
  • Complete selected services on enrolled units
  • Test access, key handling, and scheduling
  • Review completion documentation
  • Evaluate exceptions encountered
  • Adjust service matrix as needed
  • Decide whether recurring FleetReady is appropriate

Pilot scope, pricing, vehicle count, location, and evaluation criteria are confirmed in writing before service begins.

Fleet Program Proof

Proof Should Include the Unit and the System

Verified FleetReady case studies will be added after completed pilot programs.

Fleet program metrics, workflow results, and documented case studies are published only after completion and business authorization. No fleet statistics, uptime claims, cost savings, or productivity improvements are invented.

Fleet Questions

Fleet Detailing and Appearance Maintenance Questions

Fleet Detailing and Appearance Maintenance covers vehicle cleaning, interior maintenance, exterior presentation, surface care, appearance standards, and approved restorative services. It is not mechanical maintenance - Waypoint does not provide oil changes, brake service, mechanical inspections, or mechanical repairs.
No. FleetReady is exclusively a vehicle detailing and appearance maintenance program. Mechanical inspections, repairs, oil changes, brakes, tires, and other mechanical fleet services are outside Waypoint's scope.
Work trucks, service vans, sales vehicles, passenger shuttles, delivery vehicles, field SUVs, executive vehicles, pool vehicles, and specialty commercial vehicles are all eligible for assessment. Vehicle eligibility is confirmed during the fleet readiness review.
The FleetReady Baseline Launch offer requires a minimum of five enrolled vehicles for the three-month commitment. There is no universal minimum for all FleetReady program types - account structure depends on fleet size, location, services, and operational fit.
Qualifying businesses that enroll at least five eligible vehicles in a three-month recurring FleetReady program receive a complimentary fleet appearance audit, a customized service matrix, baseline condition records for every enrolled unit, and a $250 Fleet Reset Credit toward the initial approved service cycle. The offer is proposed pending final Waypoint approval - terms are confirmed during the account review.
Yes. FleetReady is designed to apply different appearance standards to different vehicle roles. An executive vehicle and a work truck in the same fleet can operate under different service levels, frequencies, and documentation requirements.
Frequency depends on vehicle role, use, condition, environment, and the appearance standard the business maintains. Heavily used work vehicles may benefit from service every four to six weeks. Client-facing vehicles may require monthly service. Final cadence is proposed during the fleet readiness review.
Yes, mobile site service is a primary FleetReady delivery model where location access permits. Site suitability - parking surface, working space, access, water and electrical availability, and property permissions - is reviewed before scheduling.
Waypoint requires a suitable surface, adequate working space around each vehicle, and appropriate access including keys or keyless entry. Space and access requirements depend on service type and vehicle count. Requirements are reviewed during the location assessment.
Some services require water and electrical access at the service location. Specific requirements depend on the service type. Location requirements are reviewed before any schedule is confirmed.
The FleetReady reporting workflow - including a QR-based driver condition report - is a proposed feature that routes driver-reported issues into one of four categories: routine service note, manager approval needed, urgent appearance review, or outside detailing scope. This feature is labeled as proposed until operational.
Yes. FleetReady supports fleet-manager authorization for all service scopes. The approval model - preapproved matrix, per-unit authorization, or roster-based approval - is confirmed during account setup.
Any work outside the preapproved scope requires authorization from the designated fleet manager before Waypoint proceeds. No optional or scope-expanding work begins without written or confirmed authorization.
Yes. Each enrolled unit can maintain its own service record including completed services, condition notes, reported issues, and completion photographs. The form and delivery method of these records are confirmed during account setup.
Before and after photographs are available where included in the account's agreed service scope. Photography requirements and delivery method are confirmed during account setup.
Yes. Work trucks and service vans are a primary focus of FleetReady. The appropriate service level - Functional Clean, Professional Ready, or deeper - is confirmed based on current condition and the business's appearance standard.
Yes. Odor assessment, stain treatment, carpet extraction, and pet hair removal are available fleet services. Treatment effectiveness depends on the source, severity, and material condition. Persistent issues may require additional assessment.
Yes. Paint enhancement, paint correction, and ceramic coating can be included for eligible fleet vehicles. These services typically require a separate scope review and may require in-shop completion depending on the work involved.
Engine bay detailing - cleaning external surfaces of the engine bay - is available as an optional service for eligible vehicles. It does not include mechanical inspection, repair, or maintenance. Engine bay detailing is subject to condition review and manager approval.
Detailing around the affected area pauses. The leak location and visible condition are documented and reported to the fleet manager immediately. No work that could interfere with the mechanical issue proceeds until the fleet manager confirms how to handle the vehicle.
Yes. Waypoint uses products and methods appropriate for branded vehicles and vinyl wraps. Specific wrap care requirements are noted during the fleet review and applied to each enrolled branded unit.
Centralized billing is an account feature confirmed during the fleet program review. Billing terms, grouping, and documentation requirements are part of the account setup and are not assumed before a program is confirmed.
Multiple site service may be possible depending on location geography, access, scheduling, and capacity. Multi-site programs are reviewed and confirmed separately for each location.
Weather-affected service days are rescheduled in coordination with the fleet manager. Interior services are less weather-dependent than exterior services. Contingency arrangements are discussed during account setup.
Yes. A two-stage baseline and pilot program is recommended for all new FleetReady accounts. The baseline establishes current condition and a proposed service matrix. The pilot validates services, scheduling, and documentation before the recurring program is confirmed.
Quality concerns are addressed through the fleet manager contact. Every service generates a completion record documenting work performed and any limitations. The concern resolution process is confirmed during account setup.
Program setup involves a fleet review, location assessment, service matrix confirmation, and scheduling coordination. Timeline depends on fleet complexity and site availability. Waypoint does not guarantee a specific start date before the review is complete.
